Privacy Policy
Writing checks means handling sensitive information. This page explains what we collect, why, who helps us run the service, and the choices you have.

Who we are
Check Writer 123 (“we”, “us”) is an online service for printing checks, available at checkwriter123.com. This policy covers our website and the Check Writer 123 app. By using the service you agree to this policy. If you don't agree, please don't use the service.
Information we collect
Account information. Your first and last name, your email address, and either a password or your Google sign-in details (name, email address and Google account ID). Passwords are stored only as salted hashes, so we cannot read them.
Banking and check information you enter. To print checks we store what you give us: bank account names, bank names, routing and account numbers, issuer name and address, logos, signature images, saved payees (vendors and employees), and the details of each check you print, including payee, amount, date, memo, invoice lines and any attachment (PDF, PNG or JPG) you add. We also store your print settings, such as the type of paper, layout and alignment.
Billing information. Payments are handled by Square. Your card number goes directly from your browser to Square and never touches our servers. We keep only your plan, subscription status, and Square's customer, card and subscription reference IDs.
Activity history. A history of what happened to each check (printed, reprinted, attachment added or removed, deleted), with who did it and when.
Support conversations. Messages you send to our support assistant (“the Teller”) and any messages you ask us to pass to our team. To answer your questions the assistant can look up your own account details and check history. Its replies are generated by an AI service provider (see “Who we share it with”).
How you found us. When you arrive from an ad or a link, we note the campaign tags in the link (such as the source and campaign name), the website that referred you, and the first page you visited. If you create an account, we save this with your account so we can tell which of our marketing works. It does not include your searches or browsing history.
Technical information. Like most websites, our servers and providers receive your IP address, browser type, device information, the pages you visit and the time of your visit. We use this to run, secure and improve the service.
Cookies and similar technologies
- Sign-in cookie. Keeps you logged in until you sign out or the session expires.
- Device cookie. A random identifier kept for up to two years. Together with your network address (reduced to its network part), it helps us give each person one free trial. We store only salted hashes of these values, never the raw cookie or address.
- Source cookie. A small cookie (cw_attr), kept for up to 90 days, that remembers the ad or website that brought you here until you sign up. It holds only those marketing tags, not your name or email.
- Analytics cookies. We use Google Analytics to understand how visitors use the site (pages viewed, how people find us, and whether they sign up). If we run ads on Google, Google's advertising tools may also measure which ads led to a sign-up. We do not send your banking details or check information to Google.
You can block or delete cookies in your browser settings, though the app needs its sign-in cookie to work. You can opt out of Google Analytics with Google's browser add-on at tools.google.com/dlpage/gaoptout.
How we use information
- To provide the service: create your account, store your bank accounts and checks, and print checks the way you set them up.
- To process payments and manage your subscription and free trial.
- To send service emails, such as email verification, password resets and billing notices. We do not send marketing email.
- To answer support requests and fix problems.
- To keep the service secure, prevent fraud and abuse (including repeated free trials), and enforce our terms.
- To understand how the service is used and make it better.
- To meet legal obligations.
Who we share it with
We do not sell your personal information, and we do not share it with advertisers. We share information only with companies that help us run the service, under their own privacy and security commitments, and only as needed:
- Cloudflare: hosts the website and stores our database.
- Square: processes card payments and subscriptions.
- Resend: delivers our service emails.
- Google: sign-in with Google, and Google Analytics.
- Anthropic: the AI service that writes the support assistant's replies. It receives the messages you type in the chat and the account details needed to answer you.
We may also disclose information when the law requires it, to respond to valid legal requests, to protect the rights and safety of our users or the public, or as part of a merger, sale or transfer of the business, in which case this policy continues to apply to your information unless we tell you otherwise.
How long we keep it
We keep your information while your account is open. When you delete a check, we keep a read-only copy in an archive for one year and then permanently erase it; deleting a bank account archives its checks the same way. If you ask us to close your account, we delete your account information within a reasonable time, generally within 30 days, except for records we must keep for billing, tax, security or legal reasons.
How we protect it
All traffic to the service uses HTTPS. Passwords are stored as salted hashes. Card details are handled by Square and never stored by us. Your data is stored on Cloudflare's infrastructure, which encrypts stored data. Access to our systems is limited to what is needed to run the service. No system is perfectly secure, so we can't guarantee absolute security, but we work to protect your information. See our Security page for more.
Your choices and rights
- Access and correct: you can view and edit your bank accounts, checks, payees and profile in the app, and download your check register as a CSV file.
- Delete: email us and we will delete your account and the data tied to it (see above for what we may need to keep).
- Cancel: you can cancel your subscription in Settings at any time.
- Cookies: control them in your browser, and opt out of Google Analytics as described above.
California residents. You have the right to know what personal information we collect and how we use it, to request access to or deletion of it, to correct it, and not to be treated differently for exercising these rights. We do not sell personal information. To make a request, email support@checkwriter123.com. We may need to verify your identity first.
Children
The service is for adults and businesses. It is not directed to anyone under 18, and we do not knowingly collect information from them. If you believe a child has given us information, contact us and we will delete it.
Where your data is processed
Check Writer 123 is operated from the United States for US checks and bank accounts. Your information is processed and stored in the United States and in locations where our service providers operate.
Changes to this policy
We may update this policy from time to time. When we do, we will change the date at the top, and for significant changes we will notify you by email or in the app.
